S-PAC STUDENT PLANNING COMMITTEE

S-PAC Chair
Duties:

  • Assume the lead role in S-PAC planning efforts; serve as the primary point of contact for the conference.
  • Talk/meet with Regional S-PAC Coordinator.
  • Assign tasks and monitor daily/weekly/monthly progress.
  • Keep Regional S-PAC Coordinator informed of planning progress.
  • Keep IEEE Student Branch Counselor, EE Department Head, and other university representatives informed of planning progress.
  • Keep local IEEE Section’s Student Activities Committee Chair informed of planning progress; invite Section representatives to attend the S-PAC.
  • Submit Speaker Feedback Forms to IEEE-USA.
  • Complete S-PAC Review Form after the S-PAC and submit it to IEEE-USA.

Program Subcommittee
Duties:

  • Contact Regional S-PAC Coordinator to discuss potential topics and speakers (see Speaker List).
  • Select topics for program.
  • Select speakers.
  • Get Regional S-PAC Coordinator’s approval of desired speakers.
  • Contact approved speakers to determine their availability and confirm their participation.
  • Send confirmed speakers appropriate information in writing: preliminary program, exact date and time, lodging arrangements, campus parking, etc.
  • Identify students for S-PAC master of ceremonies and speaker/panel introductions.


Finance Subcommittee

  • Solicit funds and resources (see S-PAC Funding Guide, Step 4) from:
  • - IEEE
  • - School
  • - Industry (including door prizes)
  • - Others
  • Formulate a conference budget and set ticket prices.
  • Prepare and submit the S-PAC Budget Planning Worksheet to the IEEE-USA Office.
  • Keep all receipts; document income and expenditures for submission with the S-PAC  Final Review Form.
  • Submit the S-PAC Final Review Form to the IEEE-USA Office.


Facilities Subcommittee

  • Reserve room adequate for expected audience.
  • Arrange for audiovisual equipment based on speaker requirements.
  • Make arrangements for meals or refreshments; reserve rooms, if necessary.


Publicity Subcommittee

  • Start in-school advertising:  bulletin boards, electronic mail, university radio, classrooms.
  • Start local area advertising:  radio, TV, newspapers.
  • Announce S-PAC in local IEEE Section newsletter.
  • During the S-PAC, distribute speaker evaluation sheets, encourage students to complete them, collect them, and deliver them to the S-PAC Chair for submission to IEEE-USA with the S-PAC Review Form.


Ticket Sales Subcommittee

  • Coordinate with Publicity Subcommittee.
  • Hold a salesperson incentive meeting (every IEEE member is a ticket salesperson).
  • Start ticket sales.
